The job to be done: a booked time that people turn up for
Most businesses that sell by appointment do not lose money on the pitch. They lose it in the gap between an enquiry and a confirmed slot, and again between the slot and the person actually arriving. The clinic with an empty 11 am, the builder with a site visit that nobody confirmed, the SaaS team with a demo that no-showed: all are appointment problems.
An appointment setter is the person or system that closes those gaps. A human one rings every lead, negotiates a time, writes it in a diary and rings again the day before. An AI appointment setter does the same sequence without the diary errors and at any hour.
How an AI appointment setter works
- 01A trigger arrives: a lead from a Meta or Google Ads form, a website enquiry, a portal lead, a row in a campaign CSV or an inbound call to your number.
- 02The agent rings within 30 seconds for fresh leads, or answers the call 24/7 for inbound ones.
- 03It confirms the person's need and offers slots drawn from your real calendar, so it does not double-book.
- 04It books the chosen slot, repeats the date, time and place back and, if you enable it, sends a WhatsApp message with a location pin or details.
- 05Before the appointment it calls again to confirm. If the person wants to move it, the agent offers new slots; if they cancel, the slot reopens.
- 06Everything lands in the dashboard: recording, transcript, summary, sentiment and the fields you asked for.
This setup is opt-in per employee. You decide whether it can book into a calendar, read or write a spreadsheet or call your own API, and what it may promise.
Appointments it can set, by industry
| Industry | What gets booked | What the AI captures |
|---|---|---|
| Real estate | Site visits and sales-office meetings from 99acres, MagicBricks and Housing.com enquiries | Budget, configuration, visit date and time |
| Dental and general clinics | Consultations, check-ups and follow-ups | Complaint, preferred doctor, slot |
| Diagnostic labs | Home sample collection and walk-in slots | Tests, address, time window |
| Automobile dealerships | Test drives and service bookings | Model, exchange vehicle, date |
| Salons and spas | Services and stylist slots | Service, time, repeat customer |
| SaaS and B2B sales | Demos and discovery calls | Role, company size, need, timeline |
| Study abroad and coaching | Counselling sessions | Country or course, intake, best time |
In each case the call is short and predictable, which is why it automates well.
Outbound booking, inbound booking and reminders are different calls
These are three distinct jobs, and a good setter does all three. Outbound booking converts a new enquiry into a time. Inbound booking takes the customer who rings your number and wants a slot now, even at 10 pm. Reminders protect the booking afterwards. The AI receptionist page covers the inbound side in more depth, and this page focuses on getting the booking made and kept.

Languages: booking in the language people think in
Agreeing a time is a small conversation, but it goes wrong when the customer cannot follow it. "Kal shaam 5 baje" or "naalaikku saayangaalam 5 mani" confirm far more reliably than an English sentence about availability. Outpero's agent works in Hindi, Telugu, Tamil, Marathi, Kannada, Malayalam and Indian English and follows the caller into English mid-sentence. It is the specialist in regional-language voice AI.
Bengali, Gujarati, Punjabi, Odia, Urdu and Assamese are not supported, so appointments for those callers still need a human.
What it costs, with arithmetic
No setup fee, no monthly subscription, no contract. You pay for connected talk time from prepaid credits: Standard ₹5 per minute, Premium ₹6.8. A dedicated +91 number is ₹649 a month with one channel, and each extra channel is ₹649 a month. Prices exclude 18% GST.
| Item | Arithmetic | Cost |
|---|---|---|
| A 3-minute booking call, Standard | 3 × ₹5 | ₹15 |
| A 3-minute booking call, Premium | 3 × ₹6.8 | ₹20.40 |
| A 1-minute reminder call, Standard | 1 × ₹5 | ₹5 |
| Booking plus reminder per appointment, Standard | ₹15 + ₹5 | ₹20 |
| If one in four connected booking calls ends in a slot (assumed) | ₹15 × 4 | ₹60 of talk time per booked appointment |
| A human appointment setter | About ₹18,000 a month | One call at a time, one shift |
The one-in-four rate is an assumption for illustration, not a result; yours will depend on the offer, the list and the script. The point is that ₹20 to ₹60 in talk time per appointment is easy to compare with what an empty slot costs you. Unanswered calls are not billed.
Compliance: calls about appointments
Calling someone who just enquired, or a customer about their own booking, is a service-style call and the cleanest ground under TRAI's rules. Cold-booking meetings from a purchased list is promotional and must respect the DND registry, DLT registration and calling hours. Outpero calls from a DLT-registered line and screens bulk lists against DND. For clinics, remember that patient information is sensitive: the DPDP Act 2023 applies to what is stored, so collect only what you need.
How to evaluate an AI appointment setter
- —Does it read your actual calendar and avoid double-booking, or does it only record a request?
- —Can it reschedule and cancel on a reminder call, not just book?
- —Does the confirmation reach the customer by call and WhatsApp?
- —Can you hear a call in your customers' language before spending anything? Outpero gives 50 free credits at signup.
- —What happens to someone who wants a person? Look for call transfer to your team.
It is not the right tool where each booking needs a long consultative conversation, such as complex medical triage or a mortgage structuring session.
