Best AI Receptionist in India: How to Choose and Test One

An AI receptionist is a voice agent that answers your business number, understands what the caller wants, books the appointment and passes anything sensitive to your team. The best one for an Indian business is the one that handles your callers' language, replies within about a second and a half, and hands over cleanly to a person, and you can check all three with ten test calls. Outpero publishes this post and offers an inbound AI receptionist, so it is judged against the same criteria as everyone else.

Disclosure

Outpero publishes this post and sells an inbound AI voice agent. Facts about other vendors come from their own websites, read on 2026-10-14, and are labelled where they are the vendor's claim. The post gives selection criteria and a test method so you can check any vendor, Outpero included, for yourself.

What an AI receptionist does, and what it does not

An AI receptionist is an AI voice agent that picks up the phone for a business. It greets the caller, works out what they want, answers common questions, collects details, books a slot in a calendar and logs the call. When a person should take over, it transfers the call to your team.

It is not an IVR. An IVR makes the caller press 1 for sales and 2 for support and fails the moment the caller has a question that is not on the menu. It is also not a missed-call service that rings back later. A receptionist agent holds a spoken conversation while the caller is still on the line.

It is also not a replacement for judgement. A caller describing chest pain, a legal dispute or a bereavement needs a person immediately, and a well-built agent routes those calls to one rather than improvising.

Who gets the most from one

The businesses that gain most are the ones where calls arrive when nobody can answer: a dental clinic during procedures, a salon with every stylist busy, a real-estate agent on a site visit, a coaching institute at 9 p.m. when parents finally have time to call. Each missed call is an enquiry that goes to the next number on the search results page.

Language matters as much as availability. A caller in Vijayawada, Coimbatore or Pune expects the call to be answered in Telugu, Tamil or Marathi, with English words mixed in the way they would speak to a person. A receptionist that answers only in English, or in textbook Hindi, loses a share of callers in the first ten seconds.

Eight criteria for choosing an AI receptionist

  1. 01Language and code-switching. Ask for your exact language and test a sentence that mixes in English. Outpero answers in Hindi, Telugu, Tamil, Marathi, Kannada, Malayalam and Indian English and switches to English the moment the caller does, in the same voice.
  2. 02Response gap. Time the pause between the caller's last word and the agent's first. Outpero's end-to-end conversational latency is 0.8 to 1.3 seconds on average. Anything above two seconds makes callers talk over the agent or hang up.
  3. 03Booking and records. The agent should book a real slot in a calendar, write the caller's details to a sheet or CRM, and leave a transcript, a summary and a recording for each call.
  4. 04Transfer to a person. Confirm it can transfer the call to your team when a human should take it, and test what happens when nobody picks up.
  5. 05Caller memory. A returning caller should not be asked their name and problem again. Outpero recognises returning callers and picks up from the last conversation.
  6. 06Number and capacity. Find out how many calls can be answered at once. On Outpero each channel is one call at a time on your number, and extra channels cost ₹649 a month, so a busy line needs more than one.
  7. 07Price you can predict. Look for a published rate and for anything billed on top, such as the number, channels or a monthly minimum.
  8. 08Compliance and data. Ask who stores recordings, how long, and whether the calling line is registered under Indian telecom rules.

The honest reading of this table is that the AI receptionist and the human one are not rivals so much as a split of the work. The agent takes the routine volume at any hour and the person takes the calls that need judgement, which is also how most clinics and agencies run it in practice.

After-hours answering: where the value is clearest

Want to hear this working, not just read about it?

A phone that rings out at 8 p.m. loses the caller, who dials the next listing. After-hours cover is where an AI receptionist is easiest to justify, because the alternative is not a cheaper receptionist, it is no answer at all.

Set it up in three layers. In working hours, let the agent take overflow when your staff are busy. Outside hours, let it answer every call, book the next available slot and tell the caller when someone will follow up. For urgent cases, define in advance what counts as urgent and have the agent transfer those calls to a person, or tell the caller plainly to contact emergency services.

A realistic opening line for a dental clinic in Hindi, with its English meaning, looks like this.

नमस्ते, आप सिटी डेंटल क्लिनिक में पहुँचे हैं। मैं अपॉइंटमेंट बुक करने में आपकी मदद कर सकती हूँ। आप किस दिन आना चाहेंगे? (Hello, you have reached City Dental Clinic. I can help you book an appointment. Which day would you like to come in?)

Ten test calls before you buy

A demo number is rehearsed. These calls are not, and they take about an hour. Make them from your own phone, ideally with a colleague who speaks the language more naturally than you do.

  1. 01Call and ask the most common question your front desk gets, in your customers' language.
  2. 02Ask it twice in a different phrasing, to see whether it understands intent or only keywords.
  3. 03Switch to English in the middle of a sentence, then back again.
  4. 04Interrupt the agent halfway through its greeting and see whether it stops and listens.
  5. 05Ask for something it cannot know, such as a price you have not told it, and check that it says so instead of inventing an answer.
  6. 06Book an appointment, then check that the slot appears in the calendar with the right name and number.
  7. 07Ask to speak to a person and confirm the transfer works, including what happens if nobody answers.
  8. 08Call again from the same number and check whether it remembers you.
  9. 09Call during a noisy moment, such as traffic or a market, to see how it copes with a bad line.
  10. 10Open the dashboard and read the transcript, summary and recording for every call you made.

How Outpero answers calls

Outpero's inbound mode answers calls to your business number around the clock. The AI employee handles the enquiry, qualifies it, books the appointment and logs everything, and it remembers returning callers. It can read or write a spreadsheet live, send a WhatsApp message during or right after the call, and transfer the call to your team when a person should take it.

After each call you get the recording, full transcript, summary, sentiment and the custom fields you asked it to capture, in a dashboard and on your webhook. Unanswered calls are not billed, and a +91 business number costs ₹649 a month including one channel.

As a worked example, a clinic whose receptionist agent talks for 600 connected minutes in a month on the Standard tier pays ₹3,000 in minutes plus ₹649 for the number, ₹3,649 before 18% GST. Prices exclude GST. Setup is free and there is no monthly subscription, so the 50 free credits at signup are enough for the test calls above.

Other places to look, and where they win

Several vendors answer calls, and the right one depends on what else you need from the phone line. These facts are from each vendor's own site on 2026-10-14.

  • —MyOperator offers an AI voice agent and AI receptionist on top of IVR, toll-free numbers, call recording and an inbound call centre for human teams. If you need a full phone system, it covers more than Outpero does. Its AI tier is on custom pricing.
  • —Knowlarity sells toll-free and virtual numbers, IVR and a cloud contact centre with published rupee prices, and voice bots for 24x7 queries. It asks you to contact it for voice-bot pricing.
  • —Vomyra describes a 24/7 inbound support agent and sells flat monthly plans from ₹19,999, which suits a high, steady inbound volume.
  • —Ringg AI lists inbound and outbound calling at ₹6 per connected minute, and EchoLeads lets an agent answer incoming calls, though it does not publish a price or a list of Indian languages.
  • —KriraAI lists an inbound AI receptionist as a custom-built project rather than a product you sign up for.

Outpero is not the right fit if you need toll-free numbers, IVR trees or an agent desk for a large human team. In that case, buy the telephony from a company that sells it and consider adding an AI voice agent for overflow.

Frequently asked questions

What is an AI receptionist?

+

An AI receptionist is an AI voice agent that answers your business phone number, holds a spoken conversation, books appointments, captures the caller's details and transfers the call to your team when a person should take over. Unlike an IVR menu, it understands what the caller says in their own language and replies in real time.

Can an AI receptionist answer in Hindi, Telugu or Tamil?

+

Yes, if the vendor supports the language. Outpero answers in Hindi, Telugu, Tamil, Marathi, Kannada, Malayalam and Indian English and switches to English when the caller does, at the same per-minute price in every language. Bengali, Gujarati and Punjabi are not among its languages, so test any vendor on your exact language first.

How much does an AI receptionist cost in India?

+

On Outpero there is no setup fee and no monthly subscription. Calls are ₹5 a minute on Standard or ₹6.8 on Premium, and a +91 business number is ₹649 a month including one channel, all excluding 18% GST. A human receptionist in India typically costs roughly ₹15,000 to ₹25,000 a month.

Will it replace my human receptionist?

+

Usually it shares the work. The agent takes routine enquiries and bookings at any hour, including nights and holidays, and your staff take the calls that need judgement, such as sensitive medical or legal matters. Outpero can transfer a call to your team when a person should take it, so the two work together.

What happens if two people call at the same time?

+

Each channel handles one call at a time on your number. A new Outpero number includes one channel, and each extra channel is ₹649 a month, so five channels can answer five calls at once. If your line is often busy, add channels before you launch, and review the call log to see when you reach the limit.

How do I test an AI receptionist before paying?

+

Use the free test credits and make ten real calls from your own phone: your common question, a rephrased one, a mid-sentence switch to English, an interruption, a booking, a transfer request and a repeat call. Then read the transcript and recording for each call and check that the booking appeared in your calendar.
