How do I build a business case for AI calling?
Build a business case for AI calling by measuring what slow or missed calls cost you today, estimating which calls the agent would handle, and comparing per-minute AI cost with the people-time it frees. Use your own numbers: lead volume, response time, conversion by response speed, missed incoming calls and telecaller cost. Then propose a small, time-boxed pilot with one success metric instead of a big commitment.
Step 1: Find the leak
Pull last month's leads from your CRM or ad account. How many were called within five minutes? Within an hour? Never? How many incoming calls went unanswered after hours? How many reminder or confirmation calls did the team skip because they were busy? This is usually the most persuasive slide, because it shows money already being lost rather than money that might be saved.
The 2011 Harvard Business Review lead-response study found that firms contacting leads within an hour were far more likely to qualify them than firms that waited longer. Your own data will show whether that holds for your leads.
Step 2: Cost both options honestly
| Item | Human telecaller | AI agent (Outpero) |
|---|---|---|
| Monthly fixed cost | ₹15,000–₹25,000 salary per person | ₹649 per dedicated number; no base fee |
| Variable cost | None per call, but limited calls per day | ₹5–₹6.8 per connected minute |
| Setup | Hiring, training, attrition | No setup fee; your time writing the script |
| Coverage | One shift, one call at a time | 24/7 on incoming calls; outbound calls at once equal your channels |
Step 3: Be honest about what does not change
AI calling does not close deals on its own. You still need people to follow up on qualified leads and someone to own the script. Leave those costs in the model; a business case that assumes zero human effort will fall apart in the first review.
Step 4: Propose a pilot
Ask for four weeks on one lead source or one phone line, with a single metric agreed in advance, for example site visits booked per 100 leads, or COD orders confirmed. Outpero has no lock-in and starts with 50 free credits, so the risk of the pilot is a few thousand rupees and some team time.
End the proposal with a decision rule written before the pilot starts: expand if the metric improves by an agreed margin, stop if it does not. Agreeing the rule in advance stops the result being argued away afterwards, by sceptics or by enthusiasts.

Follow-up questions
What metric should the business case use?
+
Use the outcome the business already cares about, not a call metric. For a clinic it is appointments kept, for a real-estate developer site visits booked, for an ecommerce brand orders delivered rather than returned. Connect rate and call duration are useful for tuning the agent, but they will not convince a finance head or a business owner on their own.
