AI Calls for Payment Reminders

An AI voice agent for payment reminders calls customers before and after a due date, states the amount and date, and records when they will pay. Outpero runs it as a bulk campaign from an uploaded list of dues, can send a payment link over WhatsApp during the call, and returns a promise-to-pay date and reason for every customer.

Why payment reminders breaks when people do it

Small businesses, schools, gyms, distributors and service providers in India carry receivables that nobody chases consistently, because reminder calls are awkward, repetitive and squeezed between other work. The accountant calls a few big accounts and ignores the long tail of ₹2,000–₹20,000 dues. The reminders that do go out vary in tone, are rarely logged, and leave no record of who promised to pay when.

Step by step

How it works

  • 01Upload a CSV of dues with customer name, number, amount, due date and invoice or account reference.
  • 02Schedule the campaign — for example three days before the due date, on the day and seven days after — inside a polite calling window.
  • 03The agent calls, states the amount and due date, and asks when the customer will pay.
  • 04It sends the UPI or payment link over WhatsApp if the customer asks for it, and notes any dispute or reason for delay.
  • 05Promise-to-pay dates, disputes and outcomes go to your dashboard and webhook, so accounts staff follow up only where needed.

Illustrative call

A reminder to a retailer for an invoice due in three days, from a distributor in Indore. · Runs in Hindi with English words; shown here in English.

  1. Outpero AI
Hello, am I speaking with Manoj Agarwal ji? I'm an AI assistant calling on behalf of Gupta Distributors about an invoice.
  2. Caller
    Yes, speaking. Which invoice?
  3. Outpero AI
Invoice 1042 for ₹18,500 is due on the 15th. Could you tell me by which day the payment will be made?
  4. Caller
The 15th? But I returned two cartons of biscuits last week. The amount should be less.
  5. Outpero AI
Thank you for telling me. I can't change the invoice myself, but I'll note that you returned two cartons and ask the accounts team to check the credit note. Is that right?
  6. Caller
Yes, check it. Once corrected, I'll pay the same day.
  7. Outpero AI
Understood. Shall I send the UPI link on WhatsApp so it is ready once accounts confirms the amount?
  8. Caller
Send it, but the amount might change.
  9. Outpero AI
Noted, I'll flag that the amount may change. Accounts will contact you before the 15th. Thank you, Manoj ji.
What the agent did

Dispute raised: two cartons returned, credit note not reflected. Promise to pay on the same day the corrected invoice arrives, UPI link sent on WhatsApp, record flagged for accounts with the transcript so a person resolves the amount before the due date.

How the trigger reaches Outpero

Where it comes fromHow it gets to the agent
Accounting software exportExport outstanding invoices from Tally or your billing tool as a CSV with party, number, amount and due date, then upload it as a campaign.
Google Sheet of duesKeep dues in a live sheet that accounts updates daily, and the agent reads the amounts at call time.
Webhook to accounts teamEach call result, including disputes, is posted to your webhook so the accounts team sees them without opening the dashboard.
Zapier or Make into your ledgerA scenario takes promise-to-pay dates from the call result and writes them into your ledger sheet or task list.

Results go back out the same way: a webhook you provide, or a live spreadsheet or API call mid-call. WhatsApp messages and calendar bookings are opt-in per employee.

About ₹5 per connected call before GST.

For scale: 130 talk-hours a month is about 2 telecallers if each manages productive talk-hours a day (an assumption — edit it). A telecaller typically costs around ₹18,000 a month before overheads.

Run it well

What to track — and what goes wrong

TrackHow to read it
Promise-to-pay dates keptCompare promised dates against actual receipts; a low match means promises are soft and need a follow-up call.
Disputes raised on reminder callsA rise usually means a billing or delivery problem upstream, not a calling problem.
Reach rate by time of dayIf many dials go unanswered, move the calling window to when shopkeepers are free.
Accounts hours spent chasingIf staff still chase everyone, your list is probably not being segmented by how late the invoice is.
Common mistakes
  • !Uploading dues without checking recent credit notes or part payments, so the agent quotes a wrong amount.
  • !Using the same tone for a reminder before the due date and for a long-overdue account.
  • !Treating a dispute as a refusal to pay, instead of routing it to someone who can resolve it.
  • !Calling outside business hours for shop owners, who then stop answering the number.
Not the right tool when

For serious overdue or legally escalated accounts, a negotiation by an experienced person works better. It also should not replace a conversation with a key distributor who prefers a personal call.

Questions people ask

How is a payment reminder different from loan collections?

+

A payment reminder is a courtesy call before or just after a due date to a customer who usually pays — invoices, school fees, memberships, subscriptions. Collecting overdue loan or credit-card dues carries stricter rules from the RBI on how and when borrowers may be contacted. For those, see the EMI collection use case, which is set up around that conduct.

Can the customer pay during the call?

+

The agent should never ask for card numbers, UPI PINs or OTPs by voice. Instead it sends a payment link over WhatsApp while the customer is still on the line, so they can pay straight away. Your payment gateway's own confirmation then marks the due as cleared, and the call record shows the link was sent.

What tone does the agent use on a reminder call?

+

Polite and factual, set by you. A first reminder is a friendly nudge; a call seven days after the due date can be firmer about the amount and date without threatening language. Because every call follows the same instructions and is recorded, you avoid the uneven tone that creeps into tired human follow-ups late in the day.

What if the customer says they have already paid?

+

The agent thanks them, asks for the date and mode of payment and any UTR or reference number, and tags the call as 'claims paid'. Your accounts team reconciles those against the bank statement instead of calling the customer again, which removes the most common complaint about reminder calls.

What hours should payment reminder calls go out?

+

Stick to business hours on working days — roughly 10 am to 7 pm — and avoid Sundays and major festival days for anything beyond a courtesy reminder. Outpero campaigns take a calling window and a retry schedule, so a customer who misses the morning call gets one more attempt in the evening rather than five calls in an hour.

How much does an AI voice agent for payment reminders cost?

+

Outpero has no setup fee and no monthly base fee — you pay only for connected talk time, from ₹5 per minute (1 credit = ₹1, credits never expire), plus ₹649/month for a dedicated calling number. You pay only for the minutes the agent is actually talking. Prices exclude 18% GST.

Enterprise and custom: volume plans go as low as ₹3.5/min, quoted on your needs.
