What is a webhook and why does AI calling need one?

Short answer

A webhook is a URL that one system calls automatically to hand data to another the moment something happens. AI calling needs webhooks in both directions: your lead source uses one to send a new lead to the agent instantly, and the agent uses one to send the call result, summary and captured fields back to your CRM or sheet.

A plain-language picture

Think of a webhook as a delivery address. Instead of someone checking a mailbox every ten minutes, the sender walks the parcel straight to the door. In software terms, the sending system makes an HTTP POST request to the address, with the data as JSON, as soon as an event occurs.

The alternative is polling, where a tool checks for new data on a timer. Polling is simpler to build but slow. A lead that waits for the next five-minute check has already lost five minutes.

Webhook one: lead in

When a form is submitted on Meta, Google Ads, your website or a CRM, a webhook carries the name, phone number and any answers to the voice agent. Outpero dials within 30 seconds of the lead arriving, so the speed of the whole chain is set by how quickly that first webhook fires. Zapier and Make act as translators when the source sends data in its own format.

Webhook two: result out

After the call, Outpero posts the result to a URL you choose. The payload includes the recording, the transcript, a summary, sentiment and the custom fields you asked the agent to capture, such as budget or preferred date. You decide whether it fires for every call, completed calls only, or voicemail only.

Where the result webhook usually points

  • —A Zapier Catch Hook or a Make Custom webhook, which then updates a CRM, adds a sheet row or sends a Slack or email alert.
  • —Your CRM's own inbound webhook or API endpoint, if it has one.
  • —A small endpoint your developer wrote, for teams with their own systems.

Common mistakes

  1. 01Not sending a record ID with the lead, so the result cannot be matched back to the right CRM record.
  2. 02Sending phone numbers in mixed formats. Normalise to one format, with +91, before the call.
  3. 03Forgetting to test with a real call, so the tool never sees the true payload shape.
  4. 04Ignoring failures. Check your tool's task history weekly for errors.

Follow-up questions

Do I need to write code to use webhooks?

+

No. Zapier, Make and most modern CRMs let you paste a webhook URL and map fields on a point-and-click screen. Code helps only when you are building your own receiving endpoint, or a custom API that the agent calls during a conversation. Most Outpero set-ups for lead calling and result logging are entirely no-code.
